Duplicate Options

There are 3 primary selection criteria groups that need to be set/reviewed to process contact duplicates:

 

DupeOptions

 

 

1.Select Fields as <Duplicate Key> fields
   - any fields can be selected that appear in the Field Selection list
   - selected fields are summarized in the Dupe Key Fields list

 

 

2.Optionally select multiple contact folders if required
   - if multiple folders are selected, a scan will be completed for all contact folders located within the
     currently active profile (in the case where an external PST file is in use, the currently active
     profile applies to this PST only). This process can take several minutes depending on the
     number of contact folders in the profile and how many "tiers deep" the contact folders are
     from any given root folder. This scan only occurs <once> per Toolkit session.
   - Exchange contact folders located in Public folders must be set as an Outlook AddressBook
     folder in the profile. It is not practical or feasible to traverse the complete Public Folder store
     in environments that can contain thousands of folders.

 

AllFldrs

SlctdFldrs

List of selected folders only

 

 

        - The selected folders can be modified at any time simply by clicking the
          <Select Multiple Folders> button

        - If multiple folders are selected, the <Prime Folder> option becomes available
          which determines whether or not contacts in the <Prime Folder> have
          priority over contacts found in any other folder

3.Set <Action> options

         - there are 2 basic <action> options
                 a) which contact is to be retained. Choices are:
                           - contact with the oldest <CreationDate> (default)
                           - contact with the newest <CreationDate>
                           - contact with the newest <LastModification Date>
                 b) what to do with the duplicate contacts - choices are:
                           - delete (default)
                           - move to designated contact folder
         - Duplicates found in the <Prime Contact> folder are processed using
           the <contact retention> rules. When the Primary Contact folder rule is
           effect, all contacts found outside the Primary Contact folder will be deleted
           regardless of the <contact retention> rules unless manually overridden

 

4.Process or Preview duplicates
     - the final selection to be made is whether to apply the selected options
       immediately or preview which contacts will be affected. If the <immediate>
       option is selected - there is no reversal option.
