Preview

Upon entering/selecting all options applicable to the selected function, the next step is to preview the updates that are to be applied. The preview process shows what updates will be applied. It is the results of the <Preview> process that are used to apply the actual updates.

 

 

 

Once the Preview Summary window is displayed - the following options are available:

Output sequence:

 

Clicking on the header of any column within the Preview list will sort the rows according to that column - toggling between ascending/descending within the column

 

(1) Preview Contact ID:

 

The default list uses the email address as the contact identifier for pending updates. However, this identifier can be changed to any one of the following to view the same <pending> results:

 

a)Email1Address
b)Full Name
c)First Last Name
d)Last First Name
e)Company
f)FileAs

 

For example, by selecting <Full Name>, the same list above would be immediately displayed as follows (contact data is not re-processed when the contact preview ID is changed)

(2) Update over-ride

 

Any individual value can be changed prior to applying the full update set. Just click inside the applicable <after> cell and enter the desired value. It will be the changed value that will be used when the updates are applied. Entering a new value does not immediately update the individual contact item. Only columns used for the actual update process will be unlocked for editing, all others will be locked.

 

(3) Showing contact detail

 

The default setting is to immediately display the contact detail when a row is selected by clicking on the record selector (Item#4). To over-ride this behavior, uncheck the box and the contact detail will not be displayed.

 

(4) Selecting a row

 

There are 2 reasons to selecting a specific <row> which are:

a)show the full contact detail
b)delete the row from being updated at all

 

neither of the two tasks above can be completed without first clicking on the record selector column. You cannot select a <row/item) by simply clicking on one of the cells in that row. This is by design since editing is allowed to change update values.

 

(5) Applying updates

 

Once you are satisfied and want to apply the pending changes, click on the <Apply Updates> button and the changes (as shown within the Preview list) will be applied to the contacts within the selected contact folder.

 

 

(6) Saving results

 

Pending updates can be saved to a CSV (comma separated values) text file for either offline review or for use in some other update process. In addition to the before and after field values, the CSV file will also include the 6 contact ID fields as well as the long-term EntryID for the contact item applicable to each update.

 

The current version of CG Toolkit does not have any provision for opening a previously created <preview update> file and applying updates.
